Executive Session Summary
The Board held two Executive Sessions. The first Executive Session was held on January 20, 2026,
during which the Board discussed summer staffing needs and the potential need to consult with legal
counsel.
The Board also held an Executive Session immediately prior to the February 3, 2026 Board Meeting to
discuss an HOA dues matter.
Meeting Called to Order: 6:30 p.m.
Reece made a notion to submit an account to collections, Jennifer seconded it; all in favor.
1. Approval of Previous Minutes
- January 2026 HOA meeting minutes approved
2. Homeowners Open Forum
(Scott Ward, Ken Nowick, Nancy Gittleman)
- No questions or concerns brought forward.
3. Financial Review & Treasurer’s Report – Jennifer
- One CD from Chase and Schwab will mature the week of February 9. Jennifer made a motion to
put funds into a new CD for 3 months. Yvonne seconded it. All in favor. - The board discussed a potential increase to the water budget in response to anticipated cost
increases. The board will review 2025 actuals and revisit the topic. - December financials approved.

A. Technology – Reece

Reviewing the most recent five months of website activity, ongoing maintenance averages under one hour per month, consisting primarily of newsletters, meeting minutes, and minor content updates.
I recommend allocating 1–2 hours per month for routine website upkeep, with flexibility for occasional higher-effort months as needed. Consolidation of tickets would decrease upkeep time needed (closer to one vs two).

Follow up: confirm cost when Matt gets back. Reece will email the Board regarding contracting for maintenance hours or ad-hoc.
B. Special Events & Hospitality . Yvonne

- Next planning meeting: Thursday, Feb. 19 | 6:30 – 8:00 pm
- Speaker for gardening advice – Littleton Garden Gang
- Nancy Gittleman suggested a travel related event
C. Clubhouse Cleaning
- Ad in the January Back Gate (3X/year) – $100/cleaning
- One person contacted Yvonne with interest. She is meeting him on Feb. 4, 2026 to discuss the opportunity.
D. Architectural Control Committee (ACC) – John
- 2 requests; committee meets in mid April. Will have updated stats at that time.
E. Gardens – Reece & Kim
- $600 repair pending
- Candidate for grant potential – more to come
F. Newsletter – Kim
- Deadline for March submission is February 26,2026
- Include a reminder discouraging feeding squirrels, citing increased vermin presence and potential safety risks associated with foxes and coyotes.
G. Tennis & Pickleball Courts
Discussed the importance of ensuring residents do not walk on the court during construction as it will cause damage. For safety precautions a 6’ orange fence will be installed around the construction area.
Kim will include a reminder in a future Back Gate newsletter to remind residents not to walk on the court.
H. Swimming Pool

- Cleared snow from walkways
- Applied ice melt and sand as needed
- Performed snow blower maintenance
- Replaced one fence post along University Blvd.
- Dug holes for additional fence posts
- Mapped sewer line defects
- Coordinated with DES to complete camera locate and push-camera inspections
- Located Association lighting and irrigation lines within sewer line repair excavation area KW3-4 to KW3-3
6. Old Business
- The clubhouse air conditioning inspection is tentatively scheduled for the week of February 9, 2026.
- For upcoming sewer repair, Cady will request a two-day advance notice prior to the start of work and will communicate with residents by leaving a note at each affected residence to ensure those living south or west of the area do not use water during that time.
7. New Business
- Replacement for Margie until October when her term expires.
- Replacement for Richard Campbell for a 3-year term
8. Closing
- Tom Zukas closed the meeting with two jokes.
